From shipping and move-in logistics to promotional tools and on-site services, everything you need to plan and execute a successful exhibit is organized here.

HANGING SIGN DEADLINE: October 15, 2026
The Quality Show follows the International Association of Exhibitions and Events (IAEE) Guidelines for exhibition displays. If you have any specific questions regarding your booth space, please contact:

Height Restrictions:
- Island & Peninsula Booths: Maximum height of 18 feet (Note: Some booth locations may have lower clearance and may not exceed 16 feet. Please confirm with Rosemont Exposition Services (RES) for specific location restrictions).
- Perimeter Booths: 4 feet in the front half of the booth; 12 feet in the back half of the booth.
- Linear Booths: 4 feet in the front half of the booth; 8 feet in the back half of the booth.
Hanging Signs/Banners:
- Hanging signs and banners are only permitted for island and peninsula booths 20'x20' or larger. Banners/signs may be hung above the booth to a maximum height of 18 feet. It is recommended that banners/signs be hung at least 11 feet from the ground to the bottom of the banner.
- Important Note: Some booth locations may have lower clearance (max height 16 feet), while others may have higher clearance upon request. Please confirm your specific booth location height restrictions with show management or RES.
All hanging signs must be shipped to RES warehouse by October 15, 2026 using the hanging sign shipping label provided in the exhibitor service manual.

Rosemont Exposition Services (RES) is the official show decorator for The Quality Show. The Exhibitor Service Manual includes important details, deadlines, and order forms for booth furniture, carpet, electrical, utilities, labor, shipping, and other essential services.Online ordering instructions can be found on page 12.

LEAD RETRIEVAL
Lead retrieval is an essential tool for capturing potential customer data, qualifying leads, and streamlining lead management at The Quality Show.

SHIPPING INFORMATION
ADVANCE WAREHOUSE: August 24-October 20, 2026
DIRECT SHIPPING: October 22-26, 2026
Shipping instructions, material handling rates, maps and shipping labels can be found in the Exhibitor Service Manual pages 81-93. Remember, your exhibit space fees include ALL onsite material handling fees — but only if you ship directly to the convention center (not to advance warehouse). This provides a significant cost savings for your company!
For shipping questions or to confirm the delivery of your warehouse shipment, please contact RES Warehouse at 847-678-0374. Normal warehouse hours are 7:00 AM - 3:00 PM, Monday through Friday.
LIABILITY INSURANCE (required)
INSURANCE DEADLINE: August 14, 2026
As a standard requirement all exhibitors are required to carry general liability insurance to cover your company, employees, and volunteers in case of a claim.
Required Coverage:- Minimum policy limit of $1,000,000 per occurrence and $2,000,000 aggregate.
- Insurance coverage must be in force during event dates: October 22-30, 2026.
- BNP Media (550 W Merrill St., Suite 200, Birmingham, MI 48009) as the certificate holder.
- BNP Media and Donald E. Stephens Convention Center as additional insured.

If you do not have coverage, it can easily be secured through Rainprotection. (info sheet)
Rainprotection Insurance is the authorized official insurance provider for The Quality Show.

EXHIBITOR REGISTRATION
REGISTER STAFF BY: September 30, 2026
Exhibitors receive three (3) complimentary EXPO ONLY registrations per 100 nsf of paid exhibit space. A custom registration code will be sent via email to register your staff online. Additional exhibitor badges can be purchased at a discounted rate.

CUSTOMER VIP DISCOUNT
As an exhibitor, you will receive two custom discount codes that allow your customers to access FREE Expo admission or a discount on the Conference Package. When registrants enter the code during registration, their fee will automatically be waived or discounted.
Promoting your VIP code boosts booth traffic, enhances brand visibility, offers exclusive value to your customers, and gives you the chance to win free exhibit space at the 2026 show.
How to Promote Your VIP Code:- Social Media: Post your code on LinkedIn, X (Twitter), Facebook & Instagram to create buzz.

COMPANY LISTING
LISTING DEADLINE: August 4, 2026
Exhibitors receive a company listing on the interactive floor plan for pre-event exposure, as well as in the Show Program and event mobile app. A standard directory listing includes: company name, booth number, address, phone number, website, and up to five product categories.
Exhibitors will receive an email in July 2026 with a link to update their listing and product categories. The information uploaded to the floor plan will be used to create the company listing in the on-site Show Program and Mobile App.

PRE OR POST SHOW EMAIL
PRE-SHOW EMAIL REQUEST DEADLINE = October 1, 2026
POST-SHOW EMAIL REQUEST DEADLINE: January 1, 2026
As an exhibitor, you have the opportunity to send one email directly to event attendees who have opted-in to receive third-party communications. You can choose to send either a pre-show or post-show email.
- Pre-show emails can be scheduled for deployment between August 22 - October 20, 2025.
- Post-Show emails can be scheduled for deployment between October 24, 2025 - January 21, 2026.
To schedule your email, you must submit the request form with your materials (HTML). Date availability is determined on a first come first served basis.

PRESS & MEDIA EXPOSURE
Exhibiting at The Quality Show provides an excellent opportunity to gain media coverage and increase your visibility within the industry. BNP Media has partnered with Riemer Communications to offer cost-effective ways for exhibitors to communicate their messages to the media, including editors, reporters, and bloggers that have registered for the event.
The Quality Show offers exhibitors the following ways to get their name out to the media:
- Post Your Press Releases on Event Website
The Quality Show will post your company press release to the Exhibitor News feed at no charge. This section of our website is where we are directing all of the press & media to check out the latest news from the Show and Quality exhibitors. We invite you to Submit your press releases concerning new product announcements, important company news or any features regarding your show participation. - Share Your News with the Invited & Registered Press
Editors and reporters from industry trade publications and general business media including ASSEMBLY magazine, Quality magazine, Adhesives & Sealants Industry, and other media outlets register to attend and cover the event. We encourage exhibitors to bring display company information in the Press Room for media access. Up to 25 press kits may be dropped off in the Press Room on-site. We suggest you have copies on hand in your booth as well in case a reporter stops by. The press room will be open to working members of the editorial press. Have an interview scheduled? You are welcome to use the press room for those meetings.

Hotel Block: Discounted room rates will be available, offering convenient, affordable options within walking distance of the Convention Center. All partner hotels offer complimentary shuttles to/from O’Hare Airport (ORD).

Parking: Public parking is available at the the Williams St. Garage (behind the Embassy Suites, across from the Convention Center) and the East Parking Garage. Both charge a daily rate of $15. A skybridge walkway connects the garages to the convention center. Please note, The Quality Show does not validate parking.
