*Exhibit spaces do not come carpeted or furnished.* All exhibitors are responsible for ordering their own booth furnishing, carpet, utlities and labor which are detailed in the Exhibitor Service Manual.


MOVE-IN / MOVE-OUT SCHEDULE & EXHIBIT HALL HOURS

MOVE-IN DEADLINE = OCTOBER 23 @ 4:30 PM

MOVE-OUT DEADLINE = OCTOBER 27 @ 2:00 PM

Move-In Hours

Exhibitors must install their exhibit space during the following times:
*Direct to dock shipments will be accepted per the following schedule

  • Thursday, October 19, 2023 – 8:00am – 4:30pm (400 nsf booths and larger only)
  • Friday, October 20, 2023 – 8:00am – 4:30pm
  • Saturday, October 21, 2023 – 8:00am – 12:00pm noon
  • Sunday, October 22, 2023 – HALL CLOSED. NO LABOR AVAILABLE
  • Monday, October 23, 2023 – 8:00am – 4:30pm
The exhibit hall will be open to exhibitors for set-up until 7:00pm on Monday, October 23, but any direct shipments arriving after 4:30 will be charged overtime rates. Additionally all other labor orders will be charged overtime rates from 4:30 - 7:00 pm. All exhibits must be fully installed by 7:00pm on Monday, October 23 – no exceptions.

Exhibit Hall Hours

The Exhibit Hall is open to all registered attendees as follows:

  • Tuesday, October 24, 2023 – 10:00am – 5:00pm
    • 'Happy Hour' Welcome Reception held in exhibit hall from 3:00pm – 5:00pm.
  • Wednesday, October 25, 2023 – 10:00am – 5:00pm
    • Networking Reception with The ASSEMBLY Show will take place from 5:00pm - 7:00pm (held off the show floor).
  • Thursday, October 26, 2023 – 9:00am – 2:00pm
    • Morning Mingle & Breakfast held in exhibit hall from 9:00am - 10:00am.
No materials may be packed up or removed until the exhibit hall closes at 2:00pm on Thursday, October 26.

Move-Out Hours

  • Thursday, October 26 – 2:00pm – 7:00pm
  • Friday, October 27 – 8:00am – 2:00pm
All exhibitor materials must be removed from exhibit hall by 2:00pm on Friday, October 27.

BOOTH GUIDELINES, HEIGHT RESTRICTIONS & HANGING SIGNS

The Quality Show follows the International Association of Exhibitions and Events (IAEE) Guidelines for exhibition displays.

Height Restrictions:

  • Island & Peninsula Booths = 16 feet (some booth locations may have lower clearance than 16ft. - check with RES for your specific location height restrictions)
  • Perimeter Booths = 4 feet in front half of both; 12 feet in back half of booth
  • Linear Booths = 4 feet in front half of booth; 8 feet in back half of booth

Hanging Signs/Banners:
Hanging signs and banners are only permitted for Island and Peninsula booths, 20'x20' or larger.
The maximum height limitation on hanging signs/banners for The Quality Show is 16ft., meaning the top of a banner/sign may not exceed 16ft. Most banners/signs are hung 11' from the ground to the bottom of the banner. There are some booth locations that have lower clearance than 16ft - we recommend you run any plans for a hanging banner by show management ([email protected]).

Rosemont Exposition Services (RES) is the official show decorator. The RES Exhibitor Services Manual includes important details and deadlines for booth furniture, carpet, electrical, labor, shipping and other important services you may need for your booth at The Quality Show. Required: Every exhibit space must have carpet or floor covering.

LEAD RETRIEVAL

SHIPPING

ADVANCE WAREHOUSE SHIPPING = SEPTEMBER 19 - OCTOBER 18, 2021
DIRECT SHIPPING = OCTOBER 19-23-only

Detailed shipping instructions are included in the Exhibitor Services Kit (pages 69-77).

Don't forget! Your exhibit space fees include ALL on-site material handling / drayage costs - but only if you ship direct to the convention center (not advance to the warehouse). This should be a significant cost savings to your company!

For shipping questions or to confirm delivery of your warehouse shipment, please call RES Warehouse at 847-678-0374. Normal warehouse hours are 7:00 am - 3:00 pm Monday through Friday.

  • ADVANCE SHIPMENTS RECEIVED AT THE RES WAREHOUSE
    Advance shipments will be accepted at the RES warehouse beginning September 19, 2023. Shipments received at the RES warehouse by October 12, 2023 will be weighed, inspected and charged at a rate of $30.00 per cwt. (100 lb. minimum). This charge includes storage prior to the opening of the show and delivery to the Donald E. Stephens Convention Center loading docks. Shipments received at the RES warehouse after October 12, 2023, will be charged at the rate of $35.00 per cwt. (100 lb. minimum).
  • DIRECT SHIPMENTS TO THE DONALD E. STEPHENS CONVENTION CENTER
    Materials unloaded at the Donald E. Stephens Convention Center are being provided by The Quality Show Managment. There will be no additional charges for this service, which also includes the re-loading of exhibit material at the conclusion of the event, as well the removal, storage and return of all empty crates and container.
    • All vehicles must first check-in at the RES Marshaling Yard. Whether you will be shipping your booth freight via a company owned truck, a 3rd party shipping company, or in a personally-owned vehicle (POV), for the move-in of the show, all direct shipments to the Donald E. Stephens Convention Center must first check-in at the RES Marshaling Yard. The same procedure applies for move-out, i.e., all vehicles must first check-in at the marshaling yard before coming to the convention center to pick-up freight.

EXHIBITOR REGISTRATION

REGISTRATION DEADLINE = SEPTEMBER 30, 2021 

Each exhibitor receives three (3) complimentary exhibitor registrations per 100nsf of paid exhibit space (ex: 10x20 = 6; 20x20 = 12). Exhibitors will be provided with a custom complimentary registration code via email to register their staff online. If additional badges are needed above and beyond the complimentary allotment, they can be purchased at a discounted rate

COMPANY LISTING

DEADLINE = AUGUST 31, 2023

As an exhibitor you receive a company listing in The Quality Show on-site Show Directory and event mobile app. A standard directory listing includes company name, address, phone number, website, booth # and 100 word company profile.

All exhibitors will receive an email with a link to add/update your profile on The Quality Show interactive floor plan. The profile that is uploaded to the floor plan will be used to create each exhibiting company's directory listing in the Show Program and mobile app.

LIABILITY INSURANCE (required)

DEADLINE = SEPTEMBER 1, 2023

As a standard requirement for all Quality Show exhibitors, it is necessary for you to carry general liability coverage from an insurance company in good standing.

  • Minimum policy limits of $1,000,000 per occurrence.
  • Insurance coverage must be in force during during the lease dates of the event, October 19-27, 2023.
  • Certificate Holder: BNP Media (2401 W. Big Beaver Rd., Troy, MI 48084).
  • Named as additional insured: BNP Media and Donald E. Stephens Convention Center.

Proof of Insurance is Mandatory

Having insurance will protect your company, employees, and volunteers, should a claim arise against you for something that occurred at your booth. If you already have compliant coverage, please forward your proof of insurance to [email protected] and be sure to include the exhibiting company name and 'The Quality Show' in your message.

  • Exhibitors who find it easier or advantageous to use this program, rather than their corporate insurance; Similar to when you rent a car and do not want to use your own auto insurance
  • Should there be a claim, it will not tarnish your policy and rates, and, unlike most corporate policies, there is no deductible

PRE or POST SHOW EMAIL REQUEST

PRE-SHOW EMAIL REQUEST DEADLINE = SEPTEMBER 26, 2023

POST-SHOW EMAIL REQUEST DEADLINE = JANUARY 4, 2024

As an exhibitor, you have the opportunity to send an email to regsitered attendees that opted-in to receive third-party communications. Each exhibitor has the choice of sending one Pre-show OR Post-show email.

How it works: Exhibitor to create the HTML, Show to deploy on the exhibitors' behalf. Email must reference The Quality Show. Attendee contact information is not provided per BNP Media privacy policy.

Pre-show emails can be scheduled to deploy from August 25 - October 23, 2023. Post-show emails can be scheduled to deploy from October 27 - January 24, 2024. *Deployment dates are available on a first-come, first-served basis. Email request form must include email material (HTML) to schedule a date.

  • Post Your Company Press Releases on Event Website –
    The Quality Show will post up to five company press release on the Quality Show Industry News feed at no charge. We invite exhibitors to submit press releases on new product announcements, important company news or any features regarding your show participation.   • Share Your Company News with the Invited & Registered Press –
    BNP Media has several publications under the Manufacturing sector. We are also very lucky to have a great relationship with ASQ Measurment and Inspection Divisions, Coordinate Metrology Society (CMS), and other media outlets. Many of them are working on their pre-show issues and planning show coverage. We encourage you to send press materials to all of the trade editors.
  • Drop off Media Kits in the On-site Press Office –
    The Quality Show press room will be located at the Donald E. Stephens Convention Center in Rosemont, IL. Exhibitors are encouraged to display their information kits in the Press Room for easy access by the media. Up to 25 press kits may be dropped off in the Press Room on-site. We suggest you have copies on hand in your booth as well in case a reporter stops by. Have an interview scheduled? You are welcome to use the press room for those meetings.
